Describe what is different.
A change to hours, a rate or a personal detail can raise different questions. Name the type of change and explain the point you want to establish. Keep the original situation distinct from the proposed update.
An initial enquiry does not need to contain the actual personal values. You can say that a detail has changed and ask which contact should receive the information through the appropriate channel.
Keep the effective date separate.
The date a message is sent is not necessarily the date a change is intended to apply. Describe those two things separately so the recipient understands the question. Include the relevant period if that helps identify the conversation.
If the effective date is not yet agreed, say so. A proposed date should not appear as a confirmed instruction simply because it has been typed into a form or included in an email subject.
Identify who can confirm the update.
The person reporting a change may not be the person who can authorise it. Explain your role and identify the relevant business or contact. Where you are acting through an agent, describe that connection rather than assuming it gives authority for every request.
Ask what confirmation is needed and who should provide it. This keeps the discussion focused on the actual arrangement without implying a particular amendment service or processing method.
Keep track of what remains open.
A useful response distinguishes receipt of a message from confirmation that a requested change has been agreed. Record which question has been answered and which still needs attention.
