Map the existing arrangement.
Identify the people and organisations currently involved, the information they hold and the questions they answer. Include the parts that work well as well as the points you want to change. That gives a proposed handover a real starting point.
A list of systems alone is not enough. Explain what each participant does with the information and where decisions are made, so the proposed conversation can address responsibilities as well as records.
Define what you want to discuss.
Separate the reason for reviewing the arrangement from the support you would like to explore. You may want clearer communication, a different division of responsibilities or a better-defined contact route. State the intended outcome in practical terms.
Tailorwade’s role, service coverage and commercial basis need to be agreed directly. Do not assume that introducing the company creates a migration plan or establishes compatibility with an existing system.
Keep unresolved matters in the picture.
An open query or unconfirmed change can be lost when attention moves to a new arrangement. Prepare a general list of outstanding matters and identify who currently owns the answer. Avoid including worker-level records in the first enquiry.
Distinguish a document that exists from a record whose accuracy or status has been confirmed. The handover discussion should establish which questions need resolving and who can provide that confirmation.
Agree timing around responsibilities.
A proposed changeover date needs a shared understanding of the work on either side of it. Discuss the relevant periods, expected handoffs and contacts before treating a date as fixed.
Use the preparation checklist to introduce the situation and its dependencies. It is not a promise of migration, uninterrupted service or a particular timetable. A focused enquiry helps the parties determine what a workable next step would involve.
