Supplying information is not the same as checking it. Checking is not the same as approving an action. And the person who communicates an outcome may need an answer from somebody else first. Start by naming these different parts of the arrangement, rather than assuming that one contact handles everything.
For each recurring task, identify who provides the starting information, who confirms it is current, who can authorise the next step and who responds to questions. Where the answer is not known, record it as a point to discuss. An empty responsibility is useful information at this stage.
A business may understand its internal approval process while an agent understands only the information it receives. A worker may simply know whom to ask about a payslip. Putting those perspectives together can reveal a handoff that no one has clearly described.
For example, a change request might arrive through an agent, but the authority to confirm it may sit elsewhere. A useful record distinguishes the messenger, the source and the decision-maker. Do not treat the arrows in the illustration as an existing Tailorwade service agreement.
Write a short statement for each agreed responsibility: what is involved, who owns it and what confirmation another person needs. Include the questions that fall outside the proposed arrangement, so an unanswered query has somewhere to go.
Bring the resulting outline to the scope conversation. Tailorwade’s role and any service coverage need to be agreed directly. A clear description of the intended relationship is the starting point for that discussion, not a replacement for it. Revisit the outline when people or arrangements change so the contact information remains useful.
