Start with what the information is for.
Before gathering records, describe the decision or question they support. Are you introducing a new arrangement, explaining a change or asking about a particular period? Those purposes can require different conversations and different information.
For an initial enquiry, the business context and a short description of the issue are usually the useful starting point. You can explain the type of record involved without putting personal payroll details into a public website form.
Identify the source and the version.
Information can pass between several people before it reaches the person making a decision. Record where it originated and whether a later version exists. A document date alone may not explain which period or effective date the information relates to.
If two versions appear to differ, describe that difference rather than silently choosing one. Ask which source should be confirmed and by whom. This keeps a question about accuracy separate from an instruction to act on the information.
